Back-office audits for short-term rental managers

What we fix

Six places small operators lose money or hours.

The audit checks all six and ranks what it finds by what it's worth to you. You pick what to fix. I use AI where it's the right tool and plain automation everywhere else.

1. Keep more of what you make

1.1

Software you're overpaying for

What it costs you
Pricing tools, channel add-ons, subscriptions that overlap - mostly billed per listing or as a share of bookings. Add them up and they can run around 1% of gross revenue, and on a management company's margins that's real money.
What we do
I list every tool you pay for, what each one does and where they overlap, and cut the duplicates. If your seasons are predictable, I test your dynamic pricing tool against your own booking history - if it isn't earning its fee, a lighter pricing model replaces it.
Proof
$1,500 a year off a six-condo operation's software bill. See the audit.
1.2

Direct bookings

What it costs you
Quick question: when a guest comes back for a third stay, where do they book? If the answer is the platform, you're paying its cut - commonly around 15% of the booking - to rent your own condo to someone who already knows the Wi-Fi password.
What we do
A direct booking site on the PMS you already have, with card payments. Repeat guests get routed to it. House rules, deposits and damage protection set up so taking a direct booking isn't a gamble.
Proof
Built on the family's existing PMS with card payments, for Sal y Piedra, a six-condo family operation in Puerto Vallarta. Before the site, every repeat guest booked through the platform. Now they have somewhere else to go.
1.3

Pricing and fees

What it costs you
When did you last check your management fee against the market? Cleaning, pet and extra-guest fees too. Most were set years ago. Too low and you're leaving money on the table. Too high and you're losing bookings and owners.
What we do
I benchmark your management fee and every guest-facing fee against comparable operators in your market. You see where you sit.
Proof
At Sal y Piedra, direct bookings were carrying no cleaning, pet or extra-guest fees at all. 14 surcharges added before the first direct booking went through.

2. Run on fewer hours

2.1

Turnover and staffing coordination

What it costs you
Hours a week confirming cleaners by text, chasing same-day turnovers and finding out a unit wasn't ready because the guest called you.
What we do
Tie your PMS calendar to the cleaning schedule. Assignments, confirmations, checklists and turnover photos run on their own. Only the exceptions reach you.
Proof
At Sal y Piedra, the weekly cleaning schedule and every change notice now post on their own - about 12 hours a month the owner used to spend texting. See the audit.
2.2

Damage claims and maintenance

What it costs you
Damage claims denied because the photos were missing or the deadline passed. Maintenance requests that die in a text thread until the next guest finds the problem.
What we do
Time-stamped turnover photos. Claim packets assembled before the deadline. Maintenance requests logged, sent to the right vendor and tracked until they're closed.
Proof
At Sal y Piedra the assistant found AC techs, collected prices and booked the visit into a gap between guests - five minutes of the family's time. See how it ran. It did the same for photographers: three found in one afternoon, contacted in the owner's voice, quotes collected across six condos, every send approved first.
2.3

Owner reporting

What it costs you
Owners rarely leave over a slow month. They leave when they stop hearing from you. Meanwhile the monthly statement costs someone a day in a spreadsheet.
What we do
Monthly owner statements built from your PMS and accounting data, with a short plain note on occupancy and rate against the market. Your team reviews and sends.
Proof
Sal y Piedra has no outside owners, so this one hasn't been run for real yet. The first engagement that includes it gets written up here.
